Build a Better Async Handoff Process

Async handoffs fail when context is missing.

One person understands the goal, the edge cases, and the tradeoffs. Everyone else gets a link with no structure and has to reconstruct the story from scratch.

What strong handoffs include

A strong handoff usually combines three things:

  • the original recording for nuance
  • a short summary for speed
  • explicit action items or next steps

When one of those pieces is missing, follow-up questions increase quickly.

Start with the smallest repeatable format

You do not need a full wiki article for every update.

A useful async handoff can be as simple as:

  • a two sentence summary
  • a list of decisions
  • links to the exact moments in the recording
  • a short section on risks or open questions

Make the output easy to share

The more friction there is between recording and publishing, the less likely the habit will stick.

The best handoff systems make it easy to push content into tools like Notion, Slack, or an internal knowledge base without rewriting everything manually.

That is how async communication starts saving real time instead of creating extra work.
